This role is working for a leader in the consumer electronics industry based within their offices in Covent Garden.

Purpose of the Role...

Working in the ESBO team, this role is responsible for providing general administrative support for the ESBO team and executive. Based in offices in Central London, this Team Assistant/Executive Assistant role requires a polished and professional individual. You will have experience looking after Legal or Professional services and will be adept at handling complex business travel, extensive meeting management and complex diary. In addition, you will be the main POC, acting as their gatekeeper between colleagues and external contacts where necessary.

Key Responsibilities...

* VP and ESBO Head - Coordinate, manage and book all domestic and international travel and visas, accommodation, reservations, etc. Provide a detailed travel itinerary prior to travel.
* VP and ESBO Head - Submitting and managing all expense claims, ensuring expense claims are submitted quickly, thoroughly and correctly reimbursed.
* Assisting VP and ESBO head with organising meetings both internally and externally to include arrangement of meeting rooms, catering and the legal approval process. E.g. Manage and coordinate all meeting requirements.
* Collating team holiday dates.
* General admin support to the ESBO team e.g. System support for whole team (Concur, SELMS, Travel, etc)
* Managing induction schedule and ordering stationery and office equipment for new starters.
* Arranging refreshments for meetings.
* Send invites to attendees and ensuring that attendance confirmations are received.
* Work with Trade marketing to help book venues, hospitality and transport as required.
* Proactively ensure that all the relevant meeting materials are prepared on time.
* Lead, manage and ensure that all meetings are coordinated in time for travel.
* Adhoc creation of documents (Word, Excel, etc.) and presentations (PowerPoint)that are in keeping with brand guidelines, ensuring attention to detail and standards are maintained.
