Scheduling administrator/coordinator

Duties and skills:
The successful candidate will:
· Organise and schedule site visits for Engineers in order to maximise productivity while matching each Engineer's skillset to the proposed work
· Liaise with clients to schedule site visits and ensure service schedules are adhered to and maintained
· Ensure diaries are kept up to date with any adjustments made for example, re-scheduled appointments, holidays and sickness
· Maintain client service schedules in accordance with individual contract requirements and report exceptions/missed appointments to the Administration team
· Receive and manage incoming telephone enquiries, seeing them through to a satisfactory conclusion or escalating them to the relevant department
· Update orders, instructions and contracts in our in-house database and maintain the Master Invoice spreadsheet
· Raise purchase orders through our in-house database in accordance with our financial policies and procedures
· Monitor service contracts in order for all contractual work to be completed along with correct completion of paperwork for invoicing clients in given month
· Complete invoicing on completion of job and paperwork received to ensure maximum profitability
· Set up, maintain and update the electronic client files to ensure client information is easily retrievable and all correspondence is captured
· Understand and comply with company policies and procedures
· Attend and fully participate in regular training and reviews
· Build rapport with other departments in order to work co-operatively with them
· Be able to receive feedback in a positive manner, and give feedback in the same way
· Undertake additional duties in line with their capabilities as required
