Key Accountabilities include:

General Administration
-The timely processing and payment of invoices
-Handling incoming and outgoing post, ensuring the efficient turnaround of documents for signature
-Ensuring accurate and up to date record-keeping of all employee personal data (electronically and physically) and in line with GDPR
-Ensuring the effective administration/documentation of supplier contracts e.g. recruiters and service level agreements
-Responding to reference requests, preparing references for employees travelling abroad on business
-Assisting with the annual review of Job Descriptions
-Undertaking any other project work as required.

Joiner, Mover, Leaver Processes
To facilitate the smooth movement of employees in an organised way:
-Update HR Database with all changes
-Complete the monthly headcount reporting to Paris Head Office and local management
-Draft employment contracts, variation of contract letters, leaver letters etc.
-Prepare induction packs for new joiners
-Organise and coordinate induction, mover and leaver process including travel arrangements and relocation support
-Conduct exit interviews
-Ensure receipt of all signed employee paperwork
-Help administer employee benefits schemes e.g. annual leave processing, changes to benefits etc.
-Ensure pre-employment security checking and criminal records checks are completed within the required turnaround time.

Recruitment and Selection
-Whilst working closely with the HR Business Partners be actively involved in recruitment and selection. This can include:
-Maintaining accurate records of candidate applications
-Where required advertise vacancies, sift CVs and maintain a log of all vacancies distributed
-Coordinate and schedule the interview process, providing feedback to manager(s) and candidate(s) throughout and in a timely manner
-Work with recruitment partners to source candidates, ensuring agreed terms and conditions are in place
-Manage the HR recruitment inbox
-Prepare job descriptions with the line manager
-When required interview candidates.

Training, Learning & Development
Tasks can include:
-Coordinating training needs
-Enrolling employees on courses, exams, seminars, workshops, conferences as necessary
-Monitoring and maintaining records of all internal and external training, study leave and training spend.
