Job Description

This is a busy and interesting role requiring the ability to be discrete, self sufficient and flexible. We are looking for an excellent communicator who is extremely well organised and demonstrates the ability to pay close attention to detail. The job holder will need to be extremely confident, assertive and organised and have the ability to prioritise workloads to meet tight deadlines at times. The job holder will be required to develop and maintain client relationships with a professional image being presented at all times.

Full time Monday to Friday 09.00 - 17.00

Main Responsibilities

* Provide extensive diary management including complete control of diaries on a day to day basis ensuring Partners/Directors have all relevant information in advance of meetings, together with detailed draft itineraries, maps, etc. for any domestic or international travel
* Develop comprehensive knowledge of Partner's/Director's business contacts and develop a general awareness of all business issues in which the Partners/Directors are involved
* Draft communications, presentations and papers as required
* Attend internal meetings, take minutes and ensure any necessary actions are followed up
* Organise and assist at internal events, away days, team building events, cascade events and ad-hoc internal seminars, conferences, client events and corporate hospitality
* SAP reports and other finance administration
* Produce financial information e.g. budgets, monthly SAP reports
* Contacts management - update client contact details on CRM and Outlook
* Action emails in the absence of Partner/Director group
* Screen calls, taking detailed messages and handling queries
* Organise conference call and WebExes (internal and external)
* Preparation of expense claims and submission of timesheets
* Handle various other ad-hoc projects and administrative tasks
* Perform basic research and compile data using the KPMG intranet and internet
* Handle post, couriers, filing, photocopying and archiving, maintenance of distribution lists

Qualifications and Skills

* 5 GCSEs/O'Levels (or equivalent) including Maths and English, grades A-C
* Accurate typing at 45+ wpm
* Advanced Word, PowerPoint and Excel
* Intermediate Outlook, Word, Excel and PowerPoint skills

Experience and Background

* Discretion is a key part of the role and it involves dealing with some sensitive issues
* Ability to work to deadlines and prioritise work, with proven secretarial experience in a demanding environment
* Strong interpersonal skills at all levels both internally and externally
* Excellent organisational skills with a very high degree of accuracy and attention to detail
* Good communication skills both written and oral
* Good working knowledge of internal databases and systems including Outlook, CRM, SAP, MyPD, Filesite and Factiva
* Present a professional image of KPMG both internally and externally
* Demonstrate commitment to delivery of a first class quality service at all times
* Produce PowerPoint graphics, copy/audio typing and Excel spreadsheets
* A flexible approach to working arrangements and the ability to work closely with staff at all levels
* Sense of humour
