The job holder will be a supporting member of the Central audit Team to support the segment co-ordinator in ensuring the delivery and action of any 'administrative/non-chargeable time' required on those holding internal roles i.e. Head of Performance & Operations ("HoPO") & Performance Leaders ("PLs")
This has been particularly important for our Performance Leaders who retain client portfolios whilst performing their roles.
The role holder will support the Segment Coordinator, ensuring the operational aspects of the segments are supported. They will work with the Corporates Audit Central Audit team on a day to day basis to ensure requests are met and liaise closely with the PLs on department administrative matters.
Diary management and meeting support
*Maintain the PL/HoPO corporates audit team calendar - Quarterly department meetings, Mangers meetings, PL catch ups, Corporates Performance meetings and ensure meeting logistics are arranged.
*Attend all PL, department and performance meetings, tracking actions and ensuring they are carried forward.
*Support on department and segment projects as delegated by the segment coordinator and PLs, linking in with other areas as required and sharing knowledge. i.e. Planning Week, Department/champion roles.
*Maintain department distribution lists and 'Who's Who' photoboard.
*Act as deputy for the Business Continuity plans for Corporates Audit.
*Oversee desk allocations for the corporate audit floors and update the space management team with new joiners/ leavers and assist in quarterly audits and department moves.
Manage the new joiner/leaver process
*Oversee the Onboarding process for all new joiners to the department (external hire & secondees), including liaising with recruitment and Global Mobility as appropriate.
*Work with the training department to ensure all new joiners are booked onto the new joiner quality workshop and tagging is correct.
*Own the department new joiner starter pack and ensure it is updated on a regular basis.
*Manage the new joiner process, ensuring IT logins, laptops and landlines have been requested for new joiners.
*Work with the new joiner champions to assign an appropriate buddy.
*Support Global Mobility with passport and right to work verification for new joiners from overseas.
*Act as the off boarding contact and manage the leaver process.
*Working closely with the Resource Management Advisors particularly to ensure on-boarding and leaver/transfer process (including graduate intakes) runs efficiently.
*Assist with the student programme intakes i.e. School Leavers, intensives and graduate empowered programme, 360s, vacation students and work experience. Arranging all logistics and preparing agendas for the 1st day induction.
*Have a good knowledge of the firm's intranet to provide guidance on firm policies and processes.
*Have a good knowledge of the department/segment policies and processes and how they are applied following set precedents (i.e. timesheet and sickness policies)
Assist the Segment co-ordinator with the administration for the performance management process, talent grids and other people management initiatives across the segment, including:
-Arrangement of interim and year end meetings, upward feedback and wash-up meetings
-Collation and production of supporting documentation
-Action requests from PLs following MyPD statistics and other KPIs relating to deadlines for interim and yearend
*Have a good understanding of the performance development intranet pages and information available, including awareness of timetables to proactively plan for interim and yearend process.
